Exhibitors FAQs and Extra Information
Thank you for coming on board and be apart of Greenfest, Australia’s largest free green festival, opening on World Environment Day Friday 5th June. The following FAQs extra information will help you bump-in and have a great festival, in addition to the Bump-in Sheet previously emailed.
Bump-in:
We hope to achieve a smooth and focused set-up with around 200 exhibitors confirmed coming to Greenfest this year. The bump-in of exhibitors will take place starting Thursday 6th June at 6am. Please consult your Bump-in Sheet (emailed) and bring it with you to Greenfest, to present to the volunteers for most efficient bump-in. If you have not received the Bump-in Sheet email please contact Steve York at steve@greenfest.com.au
Volunteers:
Greenfest volunteers will be available at your bump-in time to help off-load your vehicle at your stall, throughout the festival open hours and during bump-out. Greenfest volunteers will be in green uniforms at the festival access point where you enter the festival, in addition to SES volunteers. Please introduce yourself and they will be only too happy to help. Look for these green shirts and happy volunteers as you approach on your time:
Vehicles on site:
All vehicles MUST be off-site by the end of your bump-in time. There is inner city parking close by and more information will be available on the day. The speed limit will be strictly 5km/h and hazard lights must be on at all times while on-site. If you are considering using a trolley to walk in your gear please email Steve York at steve@greenfest.com.au so we know what time to expect you.
Hours of Operation for ALL exhibitors:
- Friday 5th June: 12noon – 10pm
- Saturday 6th June: 10am – 10pm
- Sunday 7th June: 10am – 5pm
Bump-out:
Sunday 7th June, 5pm will be the start of the bump-out period. All exhibitors must be off-site by 10pm Sunday evening. For some Exhibitors it may be possible to make a quicker get away if they have access to a trolley. More details will be made available during the festival.
In Preparation for Greenfest please note:
• Power: Please help the festival minimise its power usage. Note that all power-boards and appliances brought on-site must be tested and have the current safety tag from an electrician.
• Waste: Please help us to be waste-wise in practice with the fantastic partnership of Veolia Environmental Solutions by minimising waste you bring on site and distribute to customers. With the partnership of Veolia Environmental Solutions and your help we can reduce our impact and set an example of the professionalism of greener businesses.
• Food vendors:
o Please bring your BCC food licence documentation to place on display and consider all council requirements for your own piece of mind.
o Please use only biodegradable plates and utensils. You may contact Nontoxic Life for these: Keeta Gibson, 1300 887 153, keeta@nontoxiclife.com.au
o Only “Good Vibes for you” bottled water may be sold by food vendors at the festival. This is carbon neutral produced water in recycled PET bottles. Good Vibes is offering wholesale prices for all drinks suppliers at festival. Please contact Ajanta Willert, 1300 765 633, www.goodvibesforyou.com
o Organic milk for coffee and other cooking areas can be supplied by Barambah Organics: Jane Campbell, 07 3278 1544, contact@barambahorganics.com.au
o Other organic providers will be emailed by Jaime Newborn, jaime.newborn@bfa.com.au from Australian Certified Organic.
Stall space:
Standard stalls are supplied with the marquee structure, stall dividers (pin boards) as required, 1 table and 2 chairs. Larger stalls may be supplied with more tables and chairs as requested.
Standard trestle table dimensions: 1800mm long, 750mm deep and 700mm high.
The general height of these hired structures: 2.36m to the truss and approx 3.5m to the peak. Stalls that are providing their own structure will only be supplied with chairs and tables if previously organised.

Standard 3x3 stand alone marquees
Structures for combined exhibits
Outward facing walls may be opened by pulling back the marquee walls. Marquee walls can be drawn shut at night. If your location is in a large marquee (‘structure’) with neighbouring exhibitors, stall dividers will be office pin boards, as shown below:

Horizontal divider inside pergodas:2400mm wide by 1200mm high (set on 700mm legs off the ground)
Vertical dividers inside structures: 2000mm high by 1000 wide, connected to form back and side walls
Refrigeration
A cold room will be available for vendor’s food/drink stock only as previously organised with Greenfest. There will be some freezer space provided by the festival and bags of ice will be made available. If you require cold room or freezer space please contact Steve at steve@greenfest.com.au.
Stall Signage
Exhibitors will supply their own signage and place it in a way that both promotes their stall and provides no interference with pedestrian traffic. Please consult the Exhibitor Terms and Conditions for the specific requirements you have previously agreed to.
Restocking Vehicles
Each morning restocking vehicles will be allowed on-site from 6am to be removed by 8am. The speed limit will be strictly 5km/h and hazard lights must be on at all times while onsite.
Security
• Hired security will patrol the festival areas from 10pm – 6am, starting Thursday 4th to Saturday 6th June nights.
• Mobile Police station has been booked for Friday 5th and Saturday 6th June nights.
• A truck for lock up of valuable non-perishable stock will be on-site; e.g. fashion and personal care exhibitors are advised to pack stock and store in truck each night. This facility is limited to items that can be packed into boxes weighing less than 15kg per piece. This service will be available from Thursday 4th June.
Insurance
Public liability insurance is required to be on file with Greenfest before exhibitors can bump-in.
Facilities:
• ATM: The closest ATM is located at the adjacent QUT Gardens Point Campus, Y Block.
• Public toilets and Porta loos will be located central to the festival near HQ.
• WIFI networks: All of the normal broadband wireless services have a strong signal in the City Botanic Gardens but you will need to contact your internet service provider to ensure a connection.
Getting there:
• Cycle: Ample bike parking spaces will be available at City Botanic Gardens and surrounding areas. Cycle2City under King George Square in Adelaide St. will provide free, secure bike parking for 400 first cyclists to Greenfest on Saturday 6th June (9am – 10.30pm) and Sunday 7th June (9am – 6pm)
• Bus: The free City Loop bus stops at Alice Street near City Botanic Gardens main entrance.
• Train: Central train station is the closest train stop for visitors from the northern suburbs and South Bank (Vulture St.) train station is the closest train stop for visitors from the southern suburbs (short walk across the Goodwill Bridge to City Botanic Gardens from there).
• Ferry: QUT CityCat ferry station and Eagle St. CityCat ferry station are the closest CityCat ferry stops (short walk to City Botanic Gardens from there)
• Car park: Car park complexes are available around the City Botanic Gardens surrounding areas (short walk to the festival). Drop off areas are at QUT (George St) and on Alice St.
